Why we sweat the small stuff
30 September 2026 · The WhenLoop team
Group scheduling polls aren't new. The idea has been around for years, and it works: suggest some times, let people say which ones suit them, pick the winner. So why build another one?
Because using most of them still feels like filling in a form. Cluttered screens, tiny tick boxes, pages that look like they haven't changed in a decade, and a phone experience that feels like an afterthought. The idea is great. The experience could be much better.
Simple should feel simple
When a tool only does one job, there's nowhere for rough edges to hide. Every screen in WhenLoop has one clear thing to do, and we remove anything that doesn't help you do it. Clean black and white, clear type, plenty of space, and colour only where it means something: green for yes, amber for maybe.

One look, everywhere
The website, the poll your guests answer, your dashboard and even the emails you get all share the same design. Buttons look and behave the same wherever you find them. It sounds like a small thing, but it's a big part of why something feels trustworthy and easy to pick up.
Details you might not notice
Some of our favourite work is the stuff you're not meant to notice:
- Times convert to each guest's own time zone automatically.
- Your answers are remembered on your device, so you can change them later.
- Small, quick animations confirm every tap, and switch off if your device asks for less motion.
- Light and dark mode in the app, so it's easy on the eyes at night.
Free, and staying simple
Everything in WhenLoop is free today. As we add more, the goal stays the same: getting a group to agree on a date should take a minute, not a week of messages. If something ever feels clunky, tell us at hello@whenloop.com. We read every message.
